Must:
- I require candidates to have 2+ years of experience in a retention, patient care, complaints resolution, or customer success role. A background in dental, health, or high-value service environments is preferred. Experience with CRM platforms, ideally HubSpot, is essential.

- I need you to engage with customers across the U.K. & U.S. at risk of cancellation via phone, email, and CRM to understand their issues and provide solutions. - It will be your responsibility to investigate the root cause of each complaint or cancellation request, collaborating with internal teams to ensure full resolution. - You will prevent refunds and drop-offs through confident objection handling, empathy, and structured follow-up. - It is expected that you will use HubSpot CRM to document conversations, actions taken, and outcomes. - I value your contribution of ideas and feedback to improve customer journey and retention strategies. - You will need to deliver consistent updates and reporting on performance metrics, trends, and escalations. - Maintaining our standard of customer-first communication and care at every stage is critical.

At Smile White, we are searching for a driven and people-focused Retentions Specialist to join our growing Operations team. This role is critical in protecting revenue, improving the post-sale experience, and ensuring customers feel supported and valued throughout their journey with us. You will adopt a hands-on, resolution-focused approach to address customer concerns quickly, thoroughly, and empathetically. Our goal is to turn at-risk patients into long-term success stories while minimizing the need for refunds through proactive, personalized support. You should thrive in a fast-paced, target-driven environment, leveraging your communication skills, data insights, and service follow-through to provide world-class care and commercially sound outcomes. Success in this role will be reflected in decreased refund requests and churn, high rates of “save” outcomes and customer re-engagement, complete and accurate CRM records and retention reports, and improved patient satisfaction paired with strong commercial results, making a noticeable impact on revenue protection and our brand reputation.
