Requirements
Must:
- Familiarity with Planon or similar computer-aided facility management systems or integrated workplace maintenance systems.
- Understanding of SFG20, the BESA standard for planned preventative building maintenance.
- IOSH Managing or Operating Safely qualification (or willingness to obtain).
- Experience providing operational or administrative support in an engineering, property, or facilities environment.
- Proven experience in managing end-to-end financial processes, including budget preparation and monitoring, forecasting, and ensuring accurate reconciliation.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Responsibilities
*Operational Support*
- I provide operational support to the Infrastructure Engineering Management Team, including the Head of Department and senior managers.
- I maintain and improve operational systems and processes, including integrated workplace management systems and Help Desk platforms.
- I operate and maintain Engineering Incident Management protocols and support Safe Systems of Work processes.
- I attend meetings as a delegate for senior managers and present administrative and operational reports.
*Commercial & Financial Support*
- I prepare and validate commercial reports, metrics, and budget submissions.
- I collate annual engineering budget requirements for projects and routine maintenance.
- I enable monthly infrastructure and third-party KPI/SLA reporting, ensuring data integrity.
- I manage purchasing, invoicing, receipting, and financial reconciliation processes.
- I provide accurate monthly budget forecasts and compliance reporting.
*Supplier & Contract Coordination*
- I act as a key liaison for third-party engineering supplier engagement, resolving issues and responding to queries.
- I manage operational contracts, ensuring compliance with best practices and monitoring performance.
- I maintain a key database of third-party providers and contract tracking tools.
*Governance, Risk & Compliance*
- I maintain statutory property logbooks and compliance databases for testing and certification.
- I monitor and report on operational risk issues and incidents.
- I ensure that the teams business continuity plan is maintained and updated.
- I support Health & Safety and Wellbeing across the Infrastructure team.
*Team Coordination & Workforce Administration*
- I manage administrative staff and maintain accurate contract and shift schedules across teams and properties.
- I administer team schedules, holidays, sickness, and expenses.
- I support recruitment logistics, employee onboarding, and workforce planning.
- I organize continuous professional development sessions and maintain training needs assessments.

We are looking for a team member to support the operational delivery of our Infrastructure Engineering Team within the Property Division. This role is essential for the effective delivery of commercial, contractual, financial, and logistical activities across our estate. As a key enabler for the division, you will coordinate suppliers, track compliance, manage workforce activities, and ensure our operations remain resilient and compliant with statutory and internal standards.
