Must:
- Experience in an admin, coordination, or helpdesk support role.
- Proficient in using BigChange or similar job management platforms.
- Highly organized with excellent attention to detail.
- Clear communicator with clients, suppliers, and engineers.
- Comfortable working independently and juggling varied tasks.
- Flexible and reliable, with a hands-on team approach.
- Education: A-Level or equivalent (preferred).
- Experience: Helpdesk or FM: 2 years (required), Drainage and Plumbing: 1 year (required).

Responsibilities
- Manage engineers’ daily schedules and track their progress to ensure timely arrival at jobs.
- Oversee the proper handling and uploading of job details on client portals.
- Communicate updates to clients and address additional administrative or operational tasks as needed.
- Step in to manage the helpdesk during lunch breaks, annual leave, or absences.
- Rebook jobs or approve them for invoicing.
- Update the system once parts are received.
- Raise invoices in line with completed works and chase outstanding quotes.
- Order materials using approved suppliers and maintain a clear log of parts ordered and delivery statuses.
- Use BigChange to manage scheduling, job progress, and diaries, ensuring accurate data entry.
- Provide out-of-hours support with one evening shift per week (5–9pm or 5–11pm).
- Liaise with remote accounts teams and escalate queries as needed.
- Support the management team with ad hoc reports and updates.
- Perform general office administration, including housekeeping duties and process monitoring.
Description

Key Performance Indicators (KPIs) will include timely scheduling and updates for all engineers, accurate and prompt job completion on client portals, positive feedback from clients regarding communication and job updates, and minimal scheduling conflicts or delays in engineer workflows. We offer a competitive salary ranging from £30,000 to £35,000 per year, along with benefits such as a company pension. This position is full-time and requires in-person work at our operations office in Churchill House, NW4.
